What holds you back from exercising

Health screening data (PAR-Q):

Answers to 8 health screening questions
Details provided for any yes answers
Your signed declaration confirming accuracy of the information

We do not collect payment card data. We do not collect data from children under 18.

To assess your suitability for the 3-day free trial
To contact you to arrange your trial sessions
To ensure your safety during fitness sessions
To personalise your training experience
To comply with our duty of care as a fitness professional
To maintain records as required by our professional insurance

Contract performance — to deliver the service you requested
Legitimate interests — to ensure your safety during physical activity. We have assessed that our legitimate interest in maintaining health and safety records is not overridden by your right to privacy, given the inherently physical nature of fitness services and the limited scope of data collected.
Legal obligation — to maintain health screening records as required by our professional obligations

4. Health Data

Your PAR-Q responses and health information are classified as special category data under UK GDPR. We collect this data because it is necessary for us to assess whether it is safe for you to participate in physical activity with us.

We process this data only with your explicit consent, which you provide by completing and submitting the enquiry form including the PAR-Q declaration.

You may withdraw your consent at any time by contacting us at evangelia.fitnesspt@gmail.com. Withdrawal of consent does not affect the lawfulness of processing carried out before withdrawal. Where we are required to retain health screening records under our professional insurance obligations, we will retain them for the minimum period required and will inform you of this at the time of your withdrawal request.

5. How We Store Your Data

Your data is stored securely using Supabase, a cloud database service with servers located in the EU (Ireland). Supabase implements industry-standard security measures including encryption at rest and in transit.

We do not store your data on paper or on local devices.

6. Who We Share Your Data With

We do not sell your data. We do not share your data with third parties for marketing purposes.

Supabase — database storage (EU, Ireland)
Google Gmail — email communication. Gmail is operated by Google LLC, which may process data on servers located in the United States. This transfer is covered by Standard Contractual Clauses and Google's compliance with the UK–US Data Bridge where applicable.

7. How Long We Keep Your Data

Enquiry and health screening data — 2 years from the date of submission
Client session records — 3 years from the end of the coaching relationship
After these periods, your data will be securely deleted

Note: The retention period for PAR-Q and health screening records is subject to confirmation with our professional insurance provider. If a longer minimum retention period is required, this policy will be updated accordingly.

If you request deletion of your data before these periods expire, we will action your request within 30 days unless we are required by law or by our professional insurance obligations to retain it.

Our website does not currently use tracking cookies or analytics tools. We have configured our hosting provider (Vercel) to ensure no third-party analytics are active. If this changes, this policy will be updated accordingly and a cookie consent mechanism will be implemented.
